How to edit PDF text and keep the original font
By DeskKit, an AK Software Labs product.
A PDF keeps the appearance of a page, but it does not always keep text in the same structure as a word-processing document. A sentence can be stored as many small fragments, and a font can contain only the characters used in the original file. That is why a successful edit needs more than choosing a similar-looking font.
Start with a text-based PDF
Open your original and try selecting a word. If the page is a scan or photograph, use OCR PDF first. OCR creates searchable text, but it does not guarantee accurate recognition or recreate the document as a fully editable layout. Check names, numbers and punctuation carefully.
Replace a phrase with a supported original font
Open the DeskKit PDF editor, select your file and choose the text replacement option. Enter the exact phrase to find and its replacement. Choose original-font matching and select the pages you want to change. For supported embedded or standard fonts, DeskKit preserves the original point size and colour.
A font may be embedded as a subset, may not be reusable or may lack the characters in your replacement. If the editor reports that limitation, choose the explicit Sans alternative or edit the source document and export it again. A replacement that is much longer than the original can also run out of space. Shorten the wording or use the source file when the layout needs substantial revision.
Add new text without changing existing content
For a note, date or label, use add text and choose the font, page and position. Keep the original file as a backup. Review the downloaded output at normal size and zoomed in: text should be readable, aligned with the right field and clear of neighbouring labels.
Choose the right tool for the task
Use PDF Forms for interactive fields and Sign PDF for a drawn, typed or uploaded image signature. Use Redact PDF to remove confidential text. Drawing a white rectangle or adding new text over old text does not reliably remove the original content.
Review before you send
Inspect every changed page, check that the old phrase was removed and confirm your new text can be read correctly. Editing can invalidate an existing certificate-based signature. Keep the unedited original if that signature matters, and ask the recipient which format they accept.
